AI assistance: Outlook Read mode

From reading an email to preparing a response.

While you are reading a message, Draft a Reply prepares a suggestion for you to work from. Nothing is created in Outlook or sent until you choose to.

  2. Choose Draft a Reply.
  3. Select a tone: Professional, Friendly, Concise or Detailed.
  4. Add instructions if you want to steer the reply.
  5. Generate a suggested response.

  2. Find or prepare documents Search documents, folders and sites in Microsoft 365 from the compose pane. Existing theBRIDGE capability
  3. Attach, link or convert Attach the original, attach a PDF, add an email as PDF, or insert a link. Existing theBRIDGE capability
  4. Review and continue Check your message, then continue with the existing Send & Process workflow. Existing theBRIDGE capability

Two conversion paths, neither of them AI

Emails are converted to PDF by theBRIDGE's own conversion service. Supported Office documents can be attached as PDF using Microsoft Graph. PDF conversion is not an Azure OpenAI function.

Human in control

AI can suggest. Your people decide.

AI is there to give people a head start on business communication, not to take the decision away. Your existing mailbox and Microsoft 365 permissions continue to apply.

Generate

AI reply generation starts when a person asks for it.

Review

Every draft is marked as AI-generated and meant to be checked.

Refine

Edit the text, change the tone or instructions, and regenerate.

Insert

Inserting into your reply is not sending. You decide what goes out.

AI can make mistakes. Reviewing a draft before you use it remains your team's responsibility.

Organisation AI controls

AI participation should be your organisation's choice.

AI in theBRIDGE is optional and governed per organisation, from the Control Center.

Consent comes first

AI processing is off until an authorised administrator in your organisation allows it. Without that consent, requests are not processed.

Enforced by the service

Your organisation's choice is checked by theBRIDGE's backend, including just before a request is sent for AI processing. Turning it off applies to later requests.

Separate from everything else

Organisations that keep AI switched off can still use supported filing and work-management functions.

Clear to the people using it

The add-in checks availability first, explains when AI is not available, and shows a data protection note when it is.

AI usage governance

AI assistance with organisational oversight.

Usage governance is an early part of the AI foundation. This is what is in place today; commercial terms are discussed separately.

People see their own usage

A My AI usage view in the add-in shows use this month and, where limits are active, the monthly allowance.

Usage is recorded

AI requests are accounted for, and platform administrators can review recorded usage for a billing period in the Control Center.

Allowances are set centrally

Monthly allowances are configured and activated per organisation by theBRIDGE platform administrators. Until they are active, the add-in says so.

Clear feedback

When an allowance has been reached, the request is declined with a clear message instead of failing silently.

Architecture and trust

One shared intelligence layer. Connected to theBRIDGE.

theBRIDGE uses a reusable AI service built into the platform, so AI operations follow the same access, consent and usage rules. Today it powers reply drafting in Outlook; other AI operations are not part of this page.

FAQ

Questions about AI in theBRIDGE.

What AI capabilities are available in theBRIDGE?

AI-assisted reply drafting in Outlook: Draft a Reply while reading a message, and Help me reply while composing. You can choose a tone, add instructions, regenerate, copy, and insert the draft into your reply.

Do users need Microsoft 365 Copilot?

theBRIDGE's centrally provided AI functions do not inherently require a separate Microsoft 365 Copilot licence. Your normal Microsoft 365 and theBRIDGE licensing requirements still apply, and theBRIDGE AI is not Microsoft Copilot.

Can our organisation disable AI processing?

Yes. AI is optional and is off until an authorised administrator in your organisation allows it. Your organisation can turn it off again, which applies to later requests.

Does theBRIDGE automatically send AI-generated replies?

No. A person asks for a draft, reviews it, and chooses whether to insert it into their reply. Inserting a draft does not send the email.

How does AI work with existing theBRIDGE features?

AI helps prepare the reply. Filing, Work Items, Teams collaboration, SharePoint records and PDF conversion are separate theBRIDGE capabilities that work with or without AI.

How is AI usage controlled?

People can see their own AI usage in the add-in, and usage is recorded. Platform administrators configure and activate monthly allowances for each organisation. Please speak to us about commercial terms.

Can we use theBRIDGE without enabling AI?

Yes. Supported filing and work-management functions do not depend on AI being enabled.
